Simple methods to increase productivity using technology

“There has got to be a better way!  A better way to access important documents … a better way to communicate … a better way to get the work done.”  Sound familiar?  If so, we’ve got a few tips for you that we think provide “a better way.”

1. Ask your IT provider to set up dual monitors on your employee’s computers.  The “Dual monitor” feature has been available since Windows 2000.  It allows you to have multiple monitors on your desk.  The monitors operate as one large monitor, allowing you to drag applications from one monitor to the other.  This handy feature helps you enter data more quickly and gives you access to more information at once.  Our clients attest that this increases productivity dramatically.

2. Implement a Internet proxy (also known as a web filter) server.  Internet proxy servers allow you to enforce a corporate Internet-usage policy.  Do your employees spend hours surfing Facebook and creating tweets?  With an Internet proxy server you can create a corporate policy that dictates which websites your team can access during normal business hours.  This will eliminate time wasted on nonbusiness-related websites.

3. Set up remote access to your work computers.  Technologies like Terminal Services give you the ability to log in to a virtual work desktop from home at speeds comparable to actually being in the office.  You can even print to your home printer, transfer files, and access the virtual desktop on your smartphone.  Remote access allows your team to work from anywhere that they have an active Internet connection.  This could be used during snow days or if you have employees who need to work remotely for an extended period of time.

4. Get organized with a CRM package.  CRM (customer relationship management) programs come in all flavors, so you’ll have to demo a few to determine which package works for your company.  Once you have it implemented, you can develop workflow processes and improve communication amongst your team and clients.  Productivity is increased because your team no longer has to search through different software programs to find the data they need.  Additionally, with documented and proven processes stored in your new CRM software, you eliminate duplication of tasks.
